DanceFlow
For wedding dance and first-dance studios

Software for wedding dance studios

A couple, a date, a song and a handful of private lessons to get them ready. DanceFlow was made for ballroom studios first, and private lessons, packages and couples are exactly what it was built around.

What it runs on

What a wedding dance studio runs on, and where it lives in DanceFlow

From the first inquiry to the last rehearsal, row by row, beside the part of DanceFlow that does it today.

What you run In DanceFlow
The first inquiry
A public inquiry form and a Leads screen, and a registration form for wedding couples that asks for the date and where the wedding is.
The intro lesson
An intro offer on your booking page with its price, rules for who can book it, and payment by card or at the studio.
The couple
A wedding couple keeps both people's own profiles; a lesson for the two of them counts for both and comes off one package.
First-dance packages
Packages with a count, a price and an expiry, a lesson type of your own such as Wedding first dance, and an agreement the couple signs when they buy.
The date they are working toward
The wedding date goes on the studio's calendar as something to plan back from, and Studio insights lists it with the anniversaries to come.
The routine and the song
The routine written down step by step with its music, so any teacher can pick it up, and lesson recaps the couple reads between lessons.
A week

From the first call to the first dance

How a wedding couple moves through the studio.

  1. Week 1

    The inquiry

The couple fills in your wedding form: the date, the venue and the song they love. They arrive on Leads, with the date on your calendar.

  2. Week 2

    The intro lesson

They book the intro from your booking page and pay by card or at the studio. Afterwards the desk sells the first-dance package, and they sign its agreement at the desk before they leave.

  3. Weeks 3 to 8

    The lessons

Each private comes off their one package. The routine is written down with its song, and after each lesson they read what to practice at home.

  4. Week 9

    The last lesson

A final run-through before the day. Their package shows the lessons left, which they can keep for after the wedding, and a guest can give them more as a gift card.

  5. A year later

    The anniversary

Studio insights remembers the anniversary, so the studio can invite them back to dance again.

Ballroom first

Made for ballroom first, and why that helps a wedding studio

Most first dances are a slow foxtrot, a waltz or a rumba, taught one couple at a time. That is the ballroom studio's private lesson, and the private lesson is what DanceFlow does best: the couple, the package, the note from last time, and what they owe.

  • A lesson for a couple appears in both partners' histories and comes off their one package.
  • Teachers set their own availability, and it decides what the booking page offers.
  • The studio's group classes and socials are there for the couples who want to keep dancing.
What matters most

The parts that matter most to a wedding dance studio

Each one opens the page that goes deeper.

For studio owners Couples, packages and payments, for whoever runs the studio. Lesson diary Recaps the couple reads between lessons: what you covered and what to practice. For teachers Each teacher's week and lesson mode, with last time's note. Independent teachers For the wedding dance teacher who works alone or rents floor time. Every feature Every feature in one list, with what is still to come.
Honest notes

What it does not do yet

What DanceFlow does not do for a wedding studio today, said plainly.

  • Not there yet: Instalment plans are not automatic. An invoice can be paid in parts, and you record each payment as it comes.
  • Not there yet: A video of the routine is a link, not an upload: put the link in the lesson recap.
  • Not there yet: Paying online needs your own Stripe account. Without it, couples pay at the studio, and every payment is still recorded.
Questions

Common questions

Can couples book their first lesson online?

Yes. Pick a package as your intro offer in Settings › Studio, and your booking page shows it with its price. The couple books a time, pays by card or at the studio, and arrives on Leads with the lesson on the schedule.

Does a couple's lesson come off one package?

Yes. A lesson for the two of them takes one credit from the pair's package, or one from each partner's when the lesson type says each pays. The lesson appears in both histories.

Can we see which weddings are coming up?

Yes. The wedding date from your registration form, or added on the couple's profile, shows in Studio insights alongside birthdays and competitions, and the anniversary is remembered for the years after.

Can an independent wedding dance teacher use it?

Yes. A solo practice is a studio in DanceFlow on the same plan, and floor fees paid to a host studio count as an expense. See independent teachers.

Is DanceFlow only for ballroom studios?

It was made for ballroom first, and a first dance is usually a ballroom dance taught as a private lesson, which is exactly what it does best. What is not built yet is on this page. See pricing.
