DanceFlow
For ballet, jazz, contemporary and children's studios

Dance studio software for ballet, jazz and recital studios

Terms and classes by age, families with more than one dancer, and a recital at the end of the year with costumes, rehearsals and tickets. DanceFlow was made for ballroom studios first; the class side, the family side and the show are all in it today.

What it runs on

What a recital studio runs on, and where it lives in DanceFlow

The rhythm of a studio full of children and their parents, row by row, beside the part of DanceFlow that does it today.

What you run In DanceFlow
Classes sold by the term
Classes sold one at a time, by the term or both, with a term price, a day enrolment closes, and a billing run that invoices every unpaid term fee at once.
Courses kept to an age
A youngest and an oldest age on the term's first day. A dancer outside it cannot enrol themselves, and the desk can still make an exception.
Families with two or three dancers
One household with a parent who pays, a sibling rate for the second and third dancer, and a parent portal with every child's schedule and balance.
Missed classes
Make-ups for term dancers who cancel in time or are marked absent: how many a term, when they expire, and which classes they can be used in.
The recital
Performers and their numbers, a running order, rehearsals and dress runs on the calendar, a printed program, and tickets with a QR code scanned at the door.
Costumes
Each costume with every dancer's size and status. When the family pays for it, the costume joins what each family owes for the show.
A week

A spring term at a recital studio

From enrolment to the night of the show.

  1. January

    Enrolment

Parents enrol their children from the registration link or the iPad at the desk, sign the waiver once, and see the term fee with the sibling rate already taken off.

  2. Every week

    Classes and the register

A teacher marks the whole class present in one tap, then the two who were not. A dancer who told you in time gets a make-up in another class at the same level.

  3. March

    Casting and costumes

Each number gets its dancers, its music and its costume. Families are asked for sizes, and the costume fee appears on what they owe for the show.

  4. May

    Rehearsals

The dress run and the tech run go on the calendar, and lessons in their way are flagged to move, never deleted. Ready for the night shows which numbers have their music, costumes and rehearsals.

  5. June

    The show

Tickets sell from the event's link with a QR code each, the door scans them on a phone, and afterwards families order the photos and video of their child's number.

Ballroom first

Made for ballroom first, and why that helps a recital studio

Ballroom studios run showcases, where every student dances a number for an audience, and bill families who pay for more than one dancer. That is a recital by another name, and it is why the show, the costumes and the family's bill were built in depth rather than added later.

  • The show and the money are one list: routine fees, costumes, tickets and what each family still owes.
  • A child sees their classes and progress and no prices or invoices; the parent who pays sees all of it.
  • Private lessons and solos for competition dancers sit in the same calendar as the classes.
What matters most

The parts that matter most to a recital studio

Each one opens the page that goes deeper.

Students and families Parents see every child's classes, balances and invoices, and message the studio from one place. For studio owners Terms, families, payments and reports, for the people who run the studio. For teachers Registers, lesson mode and the week, for each teacher. Switching to DanceFlow Families, guardians and class rosters come over from a spreadsheet. DanceFlow and Jackrabbit A side by side with software many recital studios use today, quoted and sourced.
Honest notes

What it does not do yet

What DanceFlow does not do for a recital studio today, said plainly.

  • Not there yet: Theatre seating with numbered rows is not built. Tickets have their own kinds, prices and limits, and seating is by tables, which suits a dinner show more than an auditorium.
  • Not there yet: Ordering costumes from a supplier is not built. DanceFlow keeps the sizes, the status and the fee, and you place the order.
  • Not there yet: The style filter on the public schedule uses DanceFlow's ballroom style list, so ballet, jazz and contemporary live in each class's name rather than in the filter.
  • Not there yet: Paying by card, including card autopay for memberships, needs your own Stripe account and online payments switched on. Without them, families pay at the studio and every payment is still recorded.
Questions

Common questions

Can parents pay one bill for two children?

Yes. Put the children in one household with the parent as the payer. The second and later dancer's term fee can take the sibling rate you set in Settings › Lessons, and the parent portal shows every child together.

How do recital tickets work?

Switch on Sell tickets for the event and add the kinds you sell, each with its own price and limit. Guests buy from the event's link and get a code with a QR, families buy from their invitation, and the desk sells at the door. Paying by card online needs Stripe connected.

Can we keep track of costumes?

Yes. On the show's Performers tab, Costumes lists each costume with every dancer's size and status. When the family pays for it, the costume joins what each dancer owes for the show, and Mark paid records it.

Do children see prices?

Not when a parent or guardian is on file. A child sees their classes, booking and progress; the parent sees packages, invoices and payments. You can change that in Settings › Students.

Is DanceFlow only for ballroom studios?

It was made for ballroom first. The classes, families and shows a recital studio runs on are part of the same product and the same plan, and the few things not built yet are listed on this page. See pricing.
